Who we are

RoRecruit is a recruitment agency based in Romania, operating virtually. This policy explains what personal data we collect through rorecruit.com, why we collect it, how we use it, and the rights you have over it. It applies to candidates who apply through our site and to companies who request talent through our site.

We act as the "data controller" for the personal data described below, as defined under the EU General Data Protection Regulation (GDPR).

What data we collect

From candidates, when you submit the application form: full name, email, phone number, location, current/most recent role, years of experience, field of interest, desired role type, availability, salary expectations, LinkedIn/portfolio URL, your CV/resume file, and any notes you add. If you complete the optional fit questionnaire, we also collect your answers to behavioral, experience, skills, and career-priority questions.

From companies, when you submit the talent-request form: company name, contact name, email, phone number, role details, department, seniority level, number of openings, hiring timeline, budget range, and any job description file you attach.

We do not knowingly collect any data from anyone under 18.

Why we collect it

We process your data on these legal bases under GDPR:

  • Consent — you tick the consent checkbox when submitting a form, agreeing to us processing your data for recruitment purposes
  • Legitimate interest — matching candidates to roles and companies to candidates is the core service you're asking us to provide
  • Contract — if we place you in a role or you engage us as a client, processing your data is necessary to perform that arrangement

You can withdraw consent at any time; see "Your rights" below.

Who we share your data with

We share candidate resumes and contact details with companies only with your knowledge, as part of matching you to a role — we do not sell or share your data for any other purpose.

We use the following service providers to run our website and operations, each acting as a data processor on our behalf:

We only use providers that offer GDPR-compliant data processing terms.

How long we keep your data

We keep candidate and company data for up to 12 months from your last activity with us (application, interview, or placement discussion), after which it is deleted unless you ask us to keep it longer or we're legally required to retain it (e.g. for a completed placement's records).

You can ask us to delete your data sooner at any time — see "Your rights" below.

Your rights

Under GDPR, you have the right to:

  1. Access — request a copy of the data we hold about you
  2. Correction — ask us to fix inaccurate or incomplete data
  3. Deletion — ask us to erase your data ("right to be forgotten")
  4. Restriction — ask us to limit how we use your data
  5. Objection — object to us processing your data on legitimate-interest grounds
  6. Withdraw consent — at any time, without affecting processing done before withdrawal
  7. Data portability — request your data in a portable format
  8. Lodge a complaint — with Romania's data protection authority (ANSPDCP) if you believe we've mishandled your data

How we keep your data secure

Our website uses HTTPS encryption for all data in transit. Access to our form submissions and internal records (Notion, Formspree, Gmail) is restricted to authorized RoRecruit team members only, protected by account passwords and two-factor authentication. We do not store your data on our own servers — it lives with the reputable third-party providers listed above, each bound by their own security and data-processing standards.
